Volunteering Opportunity: Treasurer with Radlett and District Museum

The Museum is a voluntary organisation, registered with the Charity Commission. It was constituted in 2017 as a Charitable Incorporated Organisation (CIO).

The Museum is currently open to visitors for two hours on Wednesdays and Saturdays plus on specific days for group visits. A minimum of two stewards, normally a Trustee and a Volunteer, are in attendance.

The Museum is governed by seven trustees, with support from some 30 volunteers, all of whom provide their services on a voluntary basis. There are normally six trustees’ meetings and an AGM per annum.

The CIO’s objectives are: “To advance education for the public benefit, in particular on the subject of Radlett and other parts of the Civil Parish of Aldenham, its history and heritage by the establishment and maintenance of a museum”.

The current Treasurer has expressed a wish to retire within the next year.

Practical Considerations: The Treasurer should, at minimum, be a competent bookkeeper with good I.T. skills. The Treasurer should be able to maintain a cash book (currently on an Excel spreadsheet) and present regular financial reports (again on an Excel spreadsheet) with a verbal commentary to the trustees at each meeting.

Role Description

The following are the requirements of the Treasurer:

• To maintain an accurate record of all transactions of the
Museum in the cash book

• To produce a monthly bank reconciliation
• To prepare a financial report and present it to the Trustees
at each meeting.

• To prepare an annual budget for approval by the Trustees.

• To prepare annual accounts for the Trustees.

• To deal with all financial queries raised by the trustees,
third parties and the bank promptly and in an intelligible
manner.

• To prepare a file of the relevant documents (cash book,
invoices, annual reports to the Trustees and the Charity
Commission) for the Independent Examiner within two
months of each financial year-end and to answer any
questions raised by the Examiner.

• To file annual returns to the Charity Commission in a timely
manner

• To research and set up the necessary facilities to handle e
electronic payments to the Museum (eg via credit cards
and via a QR code).
