Volunteering Opportunity: EMAIL NEWSLETTER COMPILER with Herts Visual Arts CIC

HVA uses a monthly email newsletter to share news with its Artists, Business Members and subscribers. The Newsletter Compiler plays a key role by preparing and scheduling these monthly newsletters and other newsletters to subsets of our artists relating to specific events.

Practical Considerations: Timing for the newsletters is aimed at sending them out on or near the first of each month. The content will usually be provided 7-10 days ahead of that time. The Newsletter Compiler needs to be available at those times.

Full Description:
HVA's newsletter to its' Artists and Business members gives information about events, exhibitions, workshops, meetings and other activities as well as sharing opportunities for artists such as special discounts.

The subscribers’ (Extras) newsletter is sent to people who have joined the HVA mailing list through the website.
Mailchimp mailing lists are linked to our website so that new subscribers are automatically added to our ‘Extras’ list and new Artist and Business Members to the relevant lists. A separate mailing list is kept in Mailchimp for press contacts.

What will you do?

As the Newsletter Compiler, you will:

1. Maintain all the contact lists and remove any duplicates or obvious spam contacts, aiming to keep the distribution list to less than 2000 people, and removing any Artists who appear on the Extras list.
2. Maintain the split groups in the Artists lists on Mailchimp so that newsletters can be sent relevant to specific HVA events.
3. Use the copy provided to compile each newsletter using the relevant HVA Mailchimp template, adding relevant images, and also adding details of other exhibitions and workshops during the next month based on information supplied by artist members.
4. Add recognition of the originator if any images used have been supplied by an outside organisation.
5. Schedule the newsletters to be sent out by email on agreed dates.
6. Liaise with other members of the volunteer team as necessary.

What are we looking for?

You will be an ideal Newsletter Compiler if you have:

• experience of a mailing app, ideally Mailchimp and Microsoft Word (or similar)
• an understanding of how to cut and paste copy from one app to another
• the ability to copy images from an online database resizing if necessary
• excellent attention to detail
• the ability to work independently as part of a remote team and to meet agreed deadlines usually in the last week of each month.
