St Albans Good Neighbour Scheme is looking for an experienced IT Specialist who can help us with the support of their new secure intranet based on Google Workspace. Tasks would involve supporting our volunteers, updating our websites (a public website and an intranet website), extending functionality of spreadsheets and generally keeping an eye on operations.

IT Support - Role Description


Introduction
St Albans Good Neighbour Scheme [SAGNS] has mostly completed a computerisation project which started at the end of 2019, transforming its operation from a mainly paper-only system to a state-of-the-art cloud-based operation.
The Scheme is subscribing to an online community booking software called Optimise where client and volunteer databases reside alongside all the job details. In addition we have developed a complementary online platform to help us manage the operations securely.
This is now actively used by over 50 volunteers (roughly a third of all the volunteers). In due course the platforms will be made available to all volunteers.
As the Scheme is a registered charity we have subscribed to Google Workspace (formerly GSuite/Google Apps) for Nonprofits as a feature-rich and secure online infrastructure for all of our needs.
As IT has become the cornerstone of our operations we need to build a team of IT Support volunteers with relevant experience who can share the ongoing tasks.
They will report to the IT Adviser (a Trustee) and, as a prerequisite, will have an enhanced Adult DBS Check as the role allows access to sensitive personal information about clients and volunteers.
Although there are many skill requirements, we do not expect one volunteer to be experienced in all aspects of the operations. It is more important to have a team who can share the tasks and therefore minimise individual involvements.

Main tasks
The list below provides a summary of our IT needs, which we hope can be provided by a small number of IT Support volunteers.
Google Workspace

Provide Directory support (add/edit/remove users)
Keep documentation up-to-date
Investigate new functionality as and when offered and discuss with relevant Trustees/Post Holders
Support Section Leaders when new volunteers are enrolled and if necessary provide training
Contact Google Workspace Support if need be
Workspace backup - Policy (how often, documentation, etc)
Update SAGNS bookmarks in Workspace Admin as and when new apps are used
Shared Drives
Documentation kept up-to-date (readme docs, Shared drives management docs)
Provide technical support to Trustees/Section Leaders/Post Holders as and when they want to explore changing share settings.
Manage all technical resources and their respective documentation
Groups
Create groups
Maintain groups membership
Maintain documentation
Develop scripts to link the memberships of groups to a spreadsheet linked to the Volunteers List
Calendars
Maintaining the IT Support Calendar
Regularly check the dates are in and all the members of the IT Support Group are subscribing to the calendar.

Hosting renewals
Laptop maintenance
Section Leaders Reviews
Workspace Backups
Provide support for other calendars
Maintain the Managing Calendars document/provide training as and when needed.

Review/Update the following:
Password policy
Shared Drives share settings
Optimise
Keep an eye on Optimise updates (Look at System changelog)
Spot opportunities for improving its usage in the Scheme
Support Section Leaders
Spreadsheets and scripts
Technical support for Volunteers & Clients Lists spreadsheets
Ongoing maintenance of the Google Apps Scripts

Can the Volunteers List and Clients List be improved (adding new worksheets, introducing new formulas, etc)
Development of new apps to simplify the sections operations
Social Media
Support the ongoing use of the social media platforms.
Facebook
Provide technical support to the SAGNS Facebook page editor(s).

Develop new tutorials.
